# Auto-filling room fields from recordings

After a call, Katalyz can read the transcript and fill the room's fields for you — deal value, stage, stakeholders, competitors, and your own custom fields — each value traceable back to the moment in the call. You review, apply and can undo any value.

> ⚠️ Requires a **transcript**. Meetings recorded by [Katalyz Recording](https://katalyz.crisp.help/en/article/katalyz-recording-f11r0s/) or embedded from your meeting-intelligence tool with a transcript work; a recording with no transcript has nothing to extract. Auto-fill is **free** — it doesn't use credits.

## Two places to run it

### From inside the room — Data panel
1. Open the room's **Data** panel from the left sidebar.
2. Click **Update with AI** (magic-pen icon at the top of the panel).
3. The panel switches to **selection mode**: every field has a checkbox and all are pre-selected. Untick what you don't want touched, then click **Update N with AI**.
4. The assistant reads **the room's recordings and messages** (*"Updating fields with AI… Reading the room's recordings & messages"*).
5. A **Review AI suggestions** list appears: one row per field with the proposed value and the quoted source. Tick the rows you want and click **Apply N selected**.

To update **a single field**, hover it and click its magic-pen button (*"Update "Deal value" with AI"*). The result shows inline as **AI suggests** with **Apply** / **Discard** — or **No value found** if the transcript doesn't mention it.

### From the recording — Meetings page
1. Go to **Meetings** and open a recording.
2. Open the **Auto-fill** tab.
3. Click **Auto-fill fields**. Values are applied to the linked room straight away, and a result card lists every field filled.

The recording dialog also has an **AI Summary** tab (objective and next steps, editable) and a **Transcript** tab.

## Reading the result

Each filled field shows:

- The **new value**
- A **confidence** pill — **High**, **Medium** or **Low confidence**
- The **source**: who said it, when in the call, and the snippet
- A **CRM** tag when the field is mapped to your CRM

Actions: **Undo** on any row (it turns into **Reverted**) or **Undo all** for the whole batch. From the Meetings page you can also **Re-run auto-fill**.

## Extraction hints

The assistant fills a field according to its **extraction hint** — one line telling AI what to look for. Default fields ship with hints, for example:

- **Deal Value** — *The proposed contract or deal amount mentioned in the call.*
- **Stage** — *The current stage of the deal based on what was discussed.*
- **Stakeholders** — *People named as decision-makers or participants on the prospect side.*

For your own fields, set the hint in **Settings → Data → Custom objects → Edit property → Extraction hint**. It's recommended at creation and **required the first time someone runs an AI update** on that field: the room panel stops with **"Add extraction hints to continue"**, lets you write the missing hints in place, then continues. Hints on custom fields apply across all rooms.

## CRM-mapped fields

Fields mapped to HubSpot or Salesforce (for example **Deal Value → amount**, **Stage → dealstage**) show the CRM logo next to their name. When auto-fill updates one of them, the value **syncs to your CRM automatically**. Undo restores the previous value in Katalyz and in the CRM.

See [CRM field mapping](https://katalyz.crisp.help/en/article/crm-field-mapping-sync-hubspot-salesforce-fzz4c/).

## Tips

- Run auto-fill **right after the call**, then do a 30-second review — it's faster than typing and you keep control.
- Low-confidence values are worth a second look; the source line tells you exactly where it came from.
- If nothing is found for a field, the hint is usually too vague. Say *what* and *how* ("the annual contract value in euros, as stated by the prospect").
