# Changing someone's org role

As people's responsibilities shift, their org role should too. Promoting a rep to admin, or downgrading a departing employee's access — both take about 10 seconds.

## Change an org role

1. Go to **Settings → Members**.
2. Click the row of the member whose role you want to change.
3. In the edit modal, update the **Role** dropdown.
4. Click **Save changes**.

The new role takes effect immediately. The member doesn't need to log out and back in.

## What changes immediately

When you change someone from Pro to Admin:
- They gain access to every room in the workspace
- They can now edit workspace settings
- Their dashboard updates on next page load

When you change someone from Admin to Pro:
- They lose access to rooms they weren't explicitly invited to
- They can no longer edit workspace settings

When you change someone from Pro to Basic:
- They can no longer create new rooms
- Rooms they currently own stay assigned to them (see below for what to do about that)

> **No invoice impact.** Billing is based on the **paid-seat quota** provisioned on your workspace (Admin + Pro), not on the per-user role distribution. Promoting, demoting, or swapping roles between existing members doesn't change your invoice or your quota. To raise or lower the quota itself, see [Adding or removing seats](→ 07-plans-billing/02-seats-billing/01-adding-removing-seats).

## What doesn't change

- **Rooms they created or own** — they keep their Owner role on those rooms. Downgrading their org role doesn't strip them of room ownership.
- **Room roles they hold in other people's rooms** — they keep being Editor/Viewer where they were invited.
- **Activity history** — all their past actions remain in the audit trail.

## Best practice: when downgrading someone

If you're demoting a Pro to Basic (or removing them entirely), first reassign ownership of their rooms:

1. Open each of the member's rooms.
2. In **Participants**, assign another Admin or Pro as **Owner**.
3. Then change the original person's role.

This prevents orphaned rooms where the only Owner has limited access.

## Offboarding a member

If the member is leaving the company, don't just downgrade — remove them entirely. See [Removing a member](https://katalyz.crisp.help/en/article/removing-a-member-azf2b8/) for the full offboarding workflow (including transferring room ownership).

## Can a member change their own role?

No. Even Admins can't "demote themselves" through the UI without another Admin present. This is to prevent accidental self-lockouts.

If you're the only Admin and need to transfer Admin to someone else, promote them first, then ask them to downgrade you.
