Internal notes, sensitive tasks, side-channel chats with one stakeholder — Katalyz gives you separate controls for each kind of element. This article covers all of them in one place. | Element | Control | Who sees it | |---|---|---| | **Pages & sections** | Hide / Show | Org members always; buyers only when shown | | **Actions** (steps, tasks, subtasks) | Everyone / Restricted | Org members always; participants per your restriction | | **Messages** (comments) | Default / Mentioned-only | Everyone who can see the host, unless restricted to @mentions | | **Guidelines** on actions | Always hidden to non-org | Org members only | --- ## Pages & sections Both **pages** (top-level) and **sections** (inside a page) have their own independent hide toggle. Hidden content is invisible to Viewers and Buyers. ### Hide a page Two ways: - **From the Navigation tab** — hover the page in the tree → three-dot menu → **Hide**. - **From the page header** — at the top of the open page, use the visibility toggle directly to hide it. ![](https://storage.crisp.chat/users/helpdesk/website/-/5/5/4/8/554891f22af0b400/screenshot-2026-06-17-at-18123_1w71brb.png =347xauto) The whole page (and all its sections) becomes invisible to buyers. ### Hide a section From the **Navigation tab** in the left sidebar, hover the section under its parent page → three-dot menu → **Hide**. Only that specific section is hidden. The parent page and other sections remain visible. ![](https://storage.crisp.chat/users/helpdesk/website/-/5/5/4/8/554891f22af0b400/screenshot-2026-06-17-at-18141_yg4l4.png =375xauto) ### Seeing hidden pages & sections as an editor - **Hidden pages** — still visible to editors (edit mode is the default), with a dedicated "hidden" icon in the page header so you know at a glance it won't be shown to buyers. Also visible in the **Navigation tab** (the nav tree) when **Show hidden items** is toggled on. - **Hidden sections** — visible in the **Navigation tab** only when **Show hidden items** is toggled on. - In the nav tree, hidden pages and sections appear **greyed out** so you can tell at a glance what's visible to buyers and what isn't. ### Show again Same menu → **Show** to toggle visibility back on. ### When to use - **Hide a whole page** for internal prep, sales playbook, or drafts you're still building. - **Hide a single section** for team-only notes inside a buyer-facing page, stage-specific content (e.g. post-signature), or phased reveal. --- ## Actions (steps, tasks, subtasks) Actions have their own visibility setting. Instead of hide/show, actions control **who** can see them. By default, an action is accessible to **everyone** in the room — indicated by a **blue globe icon** labelled **"Everyone"** (or "Accessible to everyone") next to it. ### Restrict an action 1. Click the **globe icon** on the action. 2. A dropdown opens with visibility options. 3. Restrict to a specific **team** or even specific **participants**. Once restricted, the icon switches to a **purple lock icon** labelled **"Restricted"** — an at-a-glance signal that the action isn't visible to the whole room. Only the selected people (plus org members, who always see everything) will see the action. ### When to use Use action visibility when you want to keep the **shared action plan** intact for everyone but limit a specific item: - **Internal actions** inside an otherwise shared action plan (e.g. your own team's prep task sitting next to buyer-facing steps) - **Sensitive content** — pricing details, legal review, procurement approval — where only specific participants should see the task ![](https://storage.crisp.chat/users/helpdesk/website/-/5/5/4/8/554891f22af0b400/screenshot-2026-06-17-at-18154_l67iak.png =938xauto) --- ## Messages (comments) Comments default to visible to everyone who can see the page/section/action they live on. You can narrow a specific comment to **only the people you mention**. ### Restrict a comment to mentioned people 1. Start drafting a comment. 2. **@mention** one or more users (`@name`). 3. A checkbox appears in the comment input — **"Visible only to mentioned people"**. 4. Check it and post. Once checked: - Only the **mentioned users** (plus org members) get the email notification. - Only they can see the comment in the room. - Everyone else sees nothing on that widget/action. ![](https://storage.crisp.chat/users/helpdesk/website/-/5/5/4/8/554891f22af0b400/screenshot-2026-06-17-at-18165_tozsgr.png =687xauto) ### When to use Side-bar discussions with a specific stakeholder — e.g. asking the buyer's legal contact a private question inside an otherwise open room. --- ## Guidelines on actions (org-only callouts) Inside an **action details sidepanel**, editors can add **Guidelines** — a callout-style note that is **never** visible to buyers or any non-org member, no toggle required. ### Add a guideline 1. Open the action details sidepanel. 2. Click the **bulb icon** in the sidepanel header. 3. Write your guideline (context, talking points, internal notes). ![](https://storage.crisp.chat/users/helpdesk/website/-/5/5/4/8/554891f22af0b400/screenshot-2026-06-17-at-18182_lvc6w8.png =468xauto) ### When to use Internal-only notes tied to a specific action — think of them as a permanently-hidden callout that travels with the action (objection handling, talking points, reminders for the rep). --- ## Best practice: use liberally A well-used room is one where you actively manage what each participant sees.
