# Editing and updating templates

Your templates aren't frozen — they should evolve as your messaging, pricing, and playbook change. Here's how to keep them fresh.

> ⚠️ Requires org role **Admin** or **Pro** (Pro users can only edit templates they created).

## The Templates page

Everything happens from the **Templates** page in the left sidebar of the org-level dashboard. Each card shows the template's:

- **Name** + icon
- **Status** — **Published** or **Draft**
- **Usage** — how many rooms were created from it
- **Last modified** date
- **Access scope** chip — **Everyone** (any org member can use it) or **Limited** (only a specific list of users)

## Edit a template

1. Click **Templates** in the left sidebar.
2. **Click the template card** you want to edit — that opens the template in the editor.
3. The editor looks just like a room editor. Make your changes — add sections, update copy, swap videos, adjust pricing.
4. Changes save automatically.

## Rename a template

Click the template title at the top of the editor and type the new name. Changes apply immediately.

## Publish and unpublish

A template must be **published** before it can be used to create a new room. Drafts stay editable in the gallery but won't show up in the New Room flow.

Two ways to publish (or unpublish) a template:

- **From the editor** — a chip in the top-left of the editor header shows the current state: **Published** (green badge) or **Draft**. Next to it sits a **Publish** / **Unpublish** button — click to switch.
- **From the Templates gallery** — hover a card and open the **⋮** menu. The menu surfaces a **Publish** or **Unpublish** entry (whichever flip applies to the current state).

## The per-card ⋮ menu

Hovering a template card reveals a **⋮** menu in the top-right with four actions:

- **Duplicate** — create a copy of the template. Useful for creating a variant (*"Enterprise proposal"* vs. *"SMB proposal"*) without starting over.
- **Refresh preview** — regenerate the card's thumbnail from the template's current content. Use after a visual overhaul of the template.
- **Publish** / **Unpublish** — toggle the publication state (see above).
- **Delete** — permanent. Rooms already created from this template are unaffected — deleting the template doesn't delete rooms.

## Access scope — Everyone or Limited

Each template has an **access scope** that controls which org members can see and use it in the New Room flow.

Click the **Everyone** / **Limited** chip on the card to open the **Manage permissions** popup:

- A search bar for finding users by name or email.
- A checklist of all org members. Tick the users who should have access.
- **Deselect all** — quick way to start from a clean slate.
- **Apply** — saves the changes.

When **everyone** is ticked, the chip shows **Everyone**. When the list is restricted, it shows **Limited**.

## Important: template edits don't update existing rooms

This is the most common gotcha. When you update a template, **existing rooms created from that template don't change**. Each room is an independent copy from the moment it was created.

If you've just updated messaging in your master template and want to propagate it to live rooms, you need to update each room individually. The [content library](https://katalyz.crisp.help/en/article/what-is-the-content-library-1ak1e91/) is a copy-based system too — updating a library item doesn't retroactively change rooms that already use it. Plan content updates for **future** rooms; treat live ones as one-by-one edits.

## No versioning

Katalyz doesn't version templates today. If you want a "v1" and "v2" of the same template, **duplicate** the template and rename it.

## Who can edit which templates

| Template created by | Who can edit |
|---|---|
| Admin | Any Admin |
| Pro user | That Pro user, or any Admin |

Basic users cannot create or edit templates.
