# Inviting teammates

To collaborate on a room with a colleague, invite them by email and pick their role.

## Invite a teammate

1. Open the room and click **Share** (top right) — the **Share the room** modal opens.
2. In the **New invitation** field, type your colleague's email or pick from suggestions. Existing workspace members appear in the dropdown.
3. Click **OK**. A second modal — **New invitation** — confirms the **room role** (Editor or Viewer), shows a **Notify people** checkbox (toggle off if you'd rather drop the link yourself), and offers a **Copy link** button if you want to grab the invite URL.
4. Click **OK** to send.

Your teammate receives an invitation by email and lands in the room directly via their personal magic link.

## Room role for teammates

- **Editor** — the workhorse role. Can edit content, manage participants, and change most settings — everything except delete the room.
- **Viewer** — rare for teammates; they can read and comment but not edit.

### What about Owner?

A room has exactly **one Owner** (the person who created it, or someone an admin reassigned). You cannot invite someone as Owner — to transfer ownership, change the existing Owner's role to Editor first, then reassign Owner to another participant. See [Changing someone's role](https://katalyz.crisp.help/en/article/changing-someones-role-uzkeid/).

## Inviting a colleague who isn't a workspace member yet

The Share modal invites people **to the room**, not to the workspace. If your colleague isn't a Katalyz member yet, they're treated like any other participant: they receive a room invitation and can open the room, but they don't get a seat, a dashboard, or the ability to create rooms.

To make them a proper teammate:

1. Ask an **Admin** to invite them from **Settings → Members → + Add user** (emails + org role — see [Inviting a new member](https://katalyz.crisp.help/en/article/inviting-a-new-member-udxf65/)). They set up their own profile when they accept.
2. Then invite them to the room from **Share** as usual.

If they sign up to Katalyz on their own with your company's email domain, they appear as a **join request** in **Settings → Members** for an Admin to approve.

### What about emails outside your domain?

Buyers, partners and anyone outside your team are **room participants only** — never workspace members. See [Inviting buyers](https://katalyz.crisp.help/en/article/inviting-buyers-qusqc6/).

## Teammates in the room

Teammates you invite:
- See the room on their Katalyz dashboard
- Receive notifications based on their settings
- Appear in the Participants list
- Count against your workspace seat quota (per their org role)

## Quick tip: invite the whole deal team

For strategic accounts, invite everyone on your side up front. The AE is typically the Owner (set at creation); add the rest as:
- CSM — Editor
- Solutions engineer — Editor
- Manager — Viewer

Everyone sees the activity, everyone's aligned, nobody has to be brought up to speed later.
