Moving to the new Katalyz app for HubSpot

Katalyz has rebuilt its HubSpot app. The new version brings the Katalyz card, the workflow actions and the sync onto a newer HubSpot platform — and the move is designed so that nothing you already rely on stops working. This article explains what happens during the switch and the one thing worth knowing before you plan around it.

⚠️ Requires org role Admin on the Katalyz side, and HubSpot admin access to authorize the new app.

What the move is

The new app is a separate HubSpot app, not an update to the one you have. Moving to it means a fresh install with its own consent screen: you authorize it the way you authorized the first one, review the scopes Katalyz requests, and approve.

The rollout is enabled per workspace from the Katalyz side, so you'll be told when your portal is ready rather than finding a new app one morning. See Connecting HubSpot for the scope list you'll be shown.

Both apps stay installed

During the cutover, the old app and the new app are both installed in your portal. That's deliberate, and it's what makes the switch safe:

  • Nothing is uninstalled, so nothing loses its connection while the new app settles in.
  • Both apps' events reach Katalyz, but only the active one is applied — so a change in HubSpot is never processed twice.
  • If something needs to be undone, your workspace is simply taken back off the rollout and the old app resumes.

You'll see two Katalyz apps in your HubSpot connected apps list for a while. That's expected. Don't uninstall the old one — the next section explains why.

On the Katalyz side it shows the same way: Settings → Integrations displays two cards, HubSpot (legacy) and HubSpot v2, each with its green check. The legacy card's Disconnect button is greyed out for the whole rollout — the guardrail that stops you cutting the old app off by accident.

What carries over

What

Status after the move

Sync coverage

Every webhook subscription is reproduced exactly on the new app. The same deal, contact, company and task changes are watched, with the same near-real-time behavior.

The five workflow actions

All present on the new app, with the same inputs, the same outputs and the same labels.

Timeline activity

Still posted to your HubSpot records — see the note below on how.

The Katalyz card

Still available for deal, company and contact records, and stays wherever your admin placed it.

Your rooms and their CRM links

Untouched. The link between a room and its record is stored on the Katalyz side, so it doesn't depend on which app is installed.

The one thing to know: existing workflows don't migrate

HubSpot workflows you've already built keep running on the old app, and they are not moved to the new one.

This isn't a defect — it's how HubSpot binds a workflow step to an app. Each action in a workflow points at a specific app's action definition, and HubSpot doesn't rewrite that pointer when a second app appears. So:

  • Your existing workflows keep working, unchanged, through the old app.
  • Any workflow you build after the move picks up the new app's actions.
  • Because those existing workflows are still bound to the old app, it must stay installed. Uninstalling it would break them.

There's nothing you need to do about this straight away. If you'd rather have everything on the new app, rebuild those workflows with the new actions at your own pace — the inputs and outputs are identical, so it's a matter of re-adding the steps rather than redesigning the automation. See Katalyz actions in HubSpot workflows.

Timeline activity during the cutover

Room activity and signature events continue to appear on your HubSpot timelines throughout. For now they are still emitted by the old app, which is the second reason to keep it installed.

HubSpot has to approve the new app for timeline events before that part can move across. Until it does, leaving both apps in place keeps your timelines complete. We'll say so here when that changes.

What to check after the move

Once your portal has been switched over, a few minutes of checking is enough:

  1. The card — open a deal that already has a room and confirm the Katalyz card loads its dealrooms, recordings and signatures.
  2. Sync — change a property on that deal in HubSpot and confirm the room picks it up; edit a mapped field in the room and confirm it lands back in HubSpot.
  3. Timeline — confirm recent room activity is still showing on the deal timeline.
  4. Workflows — open a Katalyz-powered workflow and confirm it's still enrolling and completing as before. You don't need to change anything; you're just confirming it wasn't disturbed.
  5. Connected apps — confirm both Katalyz apps are listed, and leave them both in place.

If any of those don't look right, contact support at support@katalyz.co rather than uninstalling anything — going back is straightforward on our side, and uninstalling makes it harder.
