Removing a participant

When someone no longer needs access to a room — deal closed, contact left the company, wrong person invited — remove them.


Remove a participant


Removal happens from the Participants page of the room.


  1. Open the room → Participants.
  2. Click the contact card of the person to remove — the contact popup opens.
  3. In the popup, click Remove.
  4. Confirm.


Access is revoked immediately. Their magic link stops working.


Org members only. The Participants page is only accessible to organization members (Owner and internal Editors). External participants — buyers, external editors — cannot remove anyone, even people they've invited themselves. If a buyer needs someone removed, they have to ask the room's Owner or an internal Editor.




Who can remove


  • Owner — can remove any participant
  • Editor (org member) — can remove other participants (subject to the same-or-lower rule — see Who can invite whom)
  • Viewer / external Editor — cannot remove anyone


What happens when someone is removed


  • They lose access immediately — next page load redirects them out
  • Their magic link is invalidated — if they try to click their old email, they get "access denied"
  • Activity history is preserved — their past comments, task completions, and visit data remain in the room
  • Comments they posted stay attached to their name (even after removal)


Remove vs. change role


  • Remove — full revocation; they can't access at all
  • Change role to Viewer — keeps them in the room but read-only


If you just want to reduce someone's permissions, change their role. Remove is for "they should have no visibility."


You can't remove the Owner


There's always exactly one Owner — they can't be removed directly. To "remove" the current Owner, you first need to transfer ownership to someone else; the previous Owner becomes a regular Editor and can then be removed if needed.
