Sharing your first room
Your room is built. Time to get it in front of your buyer. This article walks through the basics; deeper details live in Choosing the right access setting.
Open the Share modal
From inside the room, click Share in the top bar (the button in your room's brand color). "Invite people and manage access to this space."
You'll see two things to configure:
- Who is invited — the search field at the top, Suggested users and the Already in space list
- Access settings — how anyone arriving via the plain URL gets in

Pick an access setting
Katalyz offers four levels of access control. Pick the one that fits the sensitivity of the content:
Mode | Subtitle in the modal | Best for |
|---|---|---|
Anyone with the link | Simple email gate | Generic demos, low-friction sharing where you still want to know who's reading |
Only authorized users | Authorized emails and/or domains only can access | Most sales conversations — allow the buyer's domain |
Access code verification | Users receive a unique code to login | Pricing, contracts, signatures |

Invite people by email (recommended)
In the field Search for users, add email(s) or domain name(s), type each person's email (or pick a teammate from Suggested users) and choose a role:
- Viewer — can read and comment. Default for buyer contacts.
- Editor — can edit content and manage participants. For internal teammates.
You cannot invite someone as Owner — a room has exactly one Owner (the person who created it, or someone an admin reassigned).
On the New invitation step, Katalyz pre-fills the message — "I invite you to join our space {room}, where you will find all the relevant info and the next steps of our discussion. See you there!" — edit it, keep Notify people checked and send. They'll each get a personal magic link.
💡 Tip — Activity is always tracked per person. Even with Anyone with the link, buyers enter their email on the room's login page the first time they arrive, so their activity and comments can be attributed. That means you'll always know if it was the champion or the CFO who spent 3 minutes on the pricing section. Inviting by email upfront saves your buyer from that prompt (less friction) — but the tracking itself happens either way.
Or copy and paste the link
If you just want to drop the link into an email you're already writing, click Copy link and paste it wherever.
Whoever opens it lands on the room's login page — "Join the conversation." / "Enter your email to step inside." — and types their Work email. With Access code verification they also enter the 6-digit code emailed to them. With Only authorized users, the email must be on your list or match an allowed domain. See How magic links work.
Preview before you send
Before sharing, click Present (top right of the room). The picker Present as seen by lets you choose Everyone (Default — no audience filter) or one of the room's external participants, then Start presenting. Hidden pages and sections stay hidden; content restricted to specific people renders as that person would see it. This catches mistakes before they hit your buyer's inbox. See Quick Tip — Test your room in Present mode.
What happens next
The first activity you'll see is the invitee opening the invitation email. That's your earliest signal the message landed — useful because the gap between email-opened and room-opened tells you how much the subject line did its job.
After that, every subsequent interaction shows up in:
- The Activity tab inside that room
- The Recent visits block on your Home page
- Your notifications (in-app, email, and Slack — depending on your preferences)
Typical early-event sequence:
- Invitation email delivered
- Invitation email opened (your first activity ping)
- Buyer clicks the link → room opens
- Buyer views pages (you see which ones and for how long)
- Buyer acts (downloads, comments, books, signs)
