Best practices — which rooms should become templates?

Not every room should be a template. Too many templates creates decision fatigue — your reps spend more time picking a template than building the room. Here's how to decide.


A room is a good template candidate if...


  • You send this kind of room regularly (at least once a month across the team)
  • The structure is mostly the same every time — same sections, same rough content flow
  • The best version of it is already built — you have a room where the structure, copy, and design actually work
  • You want consistency across reps — so that every buyer gets the same quality experience


A room is NOT a good template candidate if...


  • It's a one-off — highly customized for a specific strategic account
  • You're not sure yet what "good" looks like — templating too early freezes an immature playbook
  • Every deal differs in fundamental structure — some deals need 3 sections, others 10


The 3–5 template rule


Most Sales teams converge on 3 to 5 templates, each mapped to a distinct deal motion:

Fewer, better-maintained templates > many stale ones.


Naming templates


Names should answer "when would I use this?" — not describe the content.

Templates evolve with your playbook


Schedule a quarterly template review:

  • What rooms closed well? What did those rooms have in common? → Update templates
  • Which sections do buyers skip? → Cut those sections
  • Which add-ons are now part of every deal? → Add them to the template


Start simple


If you're just getting started with Katalyz, don't build templates on day 1. Build 3–5 real rooms first, see what works, then templatize the best one. The best templates come from real deals that already closed — not from a theoretical structure drawn up in advance.
