Organizing library content

A library with 8 items is easy. A library with 80 needs structure — or reps can't find what they need and go build from scratch anyway. Here's how to scale yours.

Tags — the main organizing tool


Katalyz doesn't use folders. The entire library is one flat, searchable list, and tags are how you organize it.


Good tagging is the difference between a useful library and a useless one.


Tag conventions that work


Pick a small set of tag categories and stay consistent. The most common are:


  • Content typeCase study, Deck, Demo video, Legal, Playbook, One-pager, Research
  • SegmentSMB, Mid-market, Enterprise
  • IndustryFinance, Healthcare, Retail, SaaS, Manufacturing
  • Use caseProposal, Onboarding, Renewal, Expansion, QBR
  • TeamSales, Marketing, CS, Legal
  • Time periodQ1 2026, 2025 (useful for dated content like annual reports)


Most items have 2–4 tags. A case study might be tagged: Case study, Enterprise, Finance.


Tag naming rules


  • Stay consistent with capitalization — pick Case study or case-study and stick with it
  • Avoid synonyms — don't have both Demo and Product demo; pick one
  • Don't over-tag — if a tag only applies to one item, it's not doing its job


Tagging items


Tags can be added per item from the item's detail view, or in bulk on the library grid:


  1. Tick the checkboxes next to multiple library items.
  2. Click Tag in the action bar that appears.
  3. Add or remove tags across all selected items at once.



The search bar at the top matches item names (not tags, not descriptions). Keep this in mind when naming items: the name is what search hits.


Managing tags


Admins can manage the workspace's tag vocabulary from the Manage tags modal. It opens from a Manage tags button inside the tag-picker popup (the same popup where you add tags to an item).


In the modal:

  • A search bar to find any tag.
  • + Add to create a new tag from the manager itself.
  • For each tag, Rename (pencil icon) and Delete (trash icon).


Renaming propagates to every item the tag is on; deleting removes the tag from every item.


No bulk select and no merge: if you notice Proposal and Proposals both exist, rename one to match the other so they collapse, then delete the now-empty duplicate if needed.


Establishing conventions


Before your library grows past ~20 items, have someone — Sales Enablement, RevOps, or a senior rep — document the tagging conventions and share them with the team. Without conventions, tags fragment into synonyms and the library becomes hard to search.


A good way to write them down: put the conventions in a document or link item inside the library itself, named Library tagging guide. Discoverable for any new rep.
