Signature widget
The Signature widget embeds a legally binding electronic signature directly in the room. No DocuSign roundtrip.
⚠️ Requires the Katalyz Signature module, billed per user per month on top of the Core plan. Envelopes don't consume credits. See Katalyz Signature.
Quick start
- In the build bar, open More and pick Signature. An empty card appears — Configure your envelope by adding documents, recipients, and settings before sending for signature — and the envelope editor opens.
- Work through the editor's tabs: Document (PDF or Word file), Prepare (signers, approvers, followers and fields), Setup (title, message, deadline, reminders) and Send.
- Click Send for Signature.
If you close the editor without adding anything, the widget is removed from the room. To come back later, click Setup Envelope on the card; on a draft that already has content, click Review & Send.
For the full step-by-step, see Adding a signature block to a room.
Full signature documentation
Signatures have their own dedicated category covering:
- Using signatures — Adding a signature block, How buyers sign, Tracking status, Downloading the sealed PDF, Signature templates
- Understanding signatures — Legal validity, Audit trail, PDF fields vs Word codes
- Troubleshooting — Signature didn't go through, Signer didn't receive email, Voiding an envelope
What the widget shows
The card carries the envelope title, your message to recipients (Please review and sign the documents below by default) and a status badge. Once the envelope has content it also shows:
- Documents — how many files are in the envelope
- Signers — {n} of {m} signed
- Deadline — or No deadline
- Order — Sequential or Parallel
Clicking the card opens the envelope view with the progress bar and every recipient's status.
After you send the envelope
Once you click Send for Signature, the envelope is locked and Katalyz takes over:
1. The badge switches to "Awaiting signatures"
A progress bar appears under the summary and fills as signers complete. You can watch it from inside the room without leaving for a separate dashboard.
2. Recipients are notified
Each recipient receives an email notification to sign, using the authentication method set on their card (Email link, SMS code, Access code or ID verification). With sequential signing, recipient #2 only gets the email after recipient #1 has signed; with parallel signing, everyone gets it at the same time.
3. Recipients sign
A recipient who opens the room sees a Sign button on the widget. They review the documents, fill in their fields and confirm. Their progress updates the widget in real time.
4. Per-signer status
The envelope view shows where each recipient stands: Pending, Waiting, Viewed, Signed or Declined. Useful when one stakeholder is holding things up.
5. The envelope reaches a final status
- Signed — every signer has signed. A cryptographically sealed, tamper-evident PDF is generated and everyone (signers, approvers, followers and you) gets a copy by email.
- Declined, Expired or Voided — a recipient declined, the deadline passed, or you voided it. The badge shows which.
6. Download the sealed PDF
Once Signed, a Download signed copy button appears on the widget. The Signatures page lists the envelope under Completed.
