Inviting a colleague to the room

Need to loop in your IT team, procurement, legal, or exec sponsor? You can invite colleagues directly — no need to ask the sender to do it for you.

Why invite colleagues yourself

In most deals, you're not the only decision-maker. Your:

• IT / Security team needs to review the solution
• Procurement handles contract negotiations
• Legal reviews the MSA
• Exec sponsor gives final approval
• Champion's champion — whoever else is invested

Katalyz lets you invite them directly — they get the same access you did, and you don't have to explain what the tool is every time.

How to invite

1. Open the room.
2. Click Share in the top bar. (If you aren't signed in yet, you'll be asked to do so first — sharing, like commenting, requires it.)
3. In the field marked "Search for users, add email(s) or domain name(s)", type the colleague's email. Repeat for each person you're adding.
4. Click Next →.
5. On the New invitation screen, set each person's role, leave Notify people ticked and add an optional message.
6. Click Share.

There's also a Copy link button if you'd rather paste the room link into Slack or an email yourself.

They receive an invitation email with the room link. They click, enter their email on the room's login page, and they're in.

What role they get

By default, you invite colleagues as Commenters — they can read, comment and complete tasks assigned to them, but not edit content. Viewer is the read-only option, for someone who should be informed rather than involved.

Depending on how the sender configured the room, you may be able to invite them as Editors instead (can edit content). If you don't see the option, stick with Viewer.

You can invite multiple colleagues at once

Add as many emails as you need before clicking Next → — each one becomes a chip in the field and gets its own invitation email and its own role.

Limits on who you can invite

You can invite colleagues with any email address — Katalyz doesn't restrict this by domain.

That said:

• If the room uses "Only authorized users", only people whose email — or company domain — is on the sender's authorized list can get in. Ask the sender if you need someone else added.
• If the room uses "Access code verification", anyone you invite will need to enter the 6-digit access code emailed to their own address.

What invitees see

Your invitees get the exact same experience you got — an invitation email, the room's own login page, and the full room.

They don't see any indication that you invited them (vs the original sender) — it just shows up as a normal Katalyz invitation.

Your invites are tracked

Katalyz tracks who invited whom. This is normal — it helps the sender understand the deal's expanded circle (and is useful if questions come up later about who has access).

Revoking access

If you invited someone by mistake:

1. Open the room.
2. Click Share in the top bar.
3. Under Already in space, open the list and find the person you invited.
4. Open their role dropdown and choose Remove.

They lose access immediately.

Best practices

• Invite deliberately — each person you add sees everything in the room, including pricing and contracts
• Mention your invitee in a comment — so the sender knows they've joined and can welcome them appropriately
• For sensitive content, use the access controls the sender set rather than bypassing them
