Setting up your profile after an invitation
When an Admin invites you to a Katalyz workspace, they only enter your email address. The first time you log in, a short wizard asks you for the rest — your name, your job title, your booking link — and offers to connect your inbox and CRM. It takes about a minute, and everything can be changed later in Settings.
Before the wizard
You receive an invitation email with a magic link. Click it — no password to create. See Logging in with a magic link if the link has expired.
The wizard, screen by screen
1. Welcome
You're invited to {your company} — "You've been added to the {company} workspace as you@company.com. Let's set up your profile so your buyers know who they're talking to." Click Get started (Takes about a minute.).
2. Tell us about you — Step 1 of 2
"This appears on every dealroom you share." Fill in:
Field | Required | Where buyers see it |
|---|---|---|
First name | Yes | Your contact card, comments, invitations you send |
Last name | Yes | Same |
Position | No | Under your name on contact cards (e.g. Account Executive) |
Phone number | No | Contact card — pick the country code, then type the number |
No | A LinkedIn button on your contact card | |
Booking link | No | A Book button on your contact card (Cal.com, Calendly, HubSpot Meetings…) |
Continue is enabled once first and last name are filled. Back returns to the welcome screen.

3. Connect your tools — Step 2 of 2
"Sync your inbox and CRM so meetings and contacts stay up to date. You can always do this later in settings." Two rows, matching whatever your workspace uses:
- Google email & calendar (or Microsoft email & calendar) — Track opens, sync meetings and send from your address.
- HubSpot (or Salesforce) — Keep deals and contacts in sync with your CRM.
Click Connect on a row to authorize it; it turns to Connected. A counter tracks progress — 0 / 2 (Recommended — connecting both keeps your meetings and contacts up to date automatically.), 1 / 2 (a nudge to add the other one), then Inbox and CRM connected — you're fully set up.
The action button adapts: with nothing connected it reads Skip for now; once you've connected at least one tool it becomes Start using {company}.

4. Done
A quick Welcome aboard, {first name} and Katalyz opens on your Home page.
What connecting your tools gives you
- Email & calendar — your meetings appear on Home and on the Meetings page, the Meeting widget can pull your calendar events into rooms, and invitations you send go out from your own address (see Notification sender email).
- CRM — rooms link to your deals and contacts, and mapped fields stay in sync (see CRM field mapping).
If you skipped, both connections are available any time from Settings → Account → Profile (Sign in with Google / Microsoft, Sign in with HubSpot / Salesforce). The buttons only appear once an Admin has enabled the integration for the workspace.
The "Get started" checklist
After the wizard, the left sidebar shows a Get started card with a progress ring — N of M done. Click it to expand the list; it groups what's left:
Group | Items |
|---|---|
Profile | Complete your profile · Add a profile photo · Add your booking link |
Integrations | Sign in with Google / Microsoft (Connect your email & calendar) · Sign in with HubSpot / Salesforce (Sync your deals & contacts) |
First room | Create your first room · Invite a teammate to the room · Add an external participant · Add a recording to a room |
Org setup (Admins only) | Enable email & calendar integration · Enable CRM · Enable a meeting recorder · Customize org branding · Create your first org template · Invite teammates to Katalyz |
Items tick off automatically as you do them; clicking one takes you to the right place.

Warnings in the checklist
The same card surfaces things that need attention, above the to-do groups:
Warning | Meaning |
|---|---|
Reconnect your email & calendar | Sign in again to keep syncing — the Google/Microsoft authorization expired |
Reconnect your CRM | Sign in again to keep deals in sync |
CRM sync failed | Last attempt couldn't reach your CRM |
Trial ends in 3 days | Add a payment method to continue (Admins) |
Seat limit reached | Upgrade to add more teammates (Admins) |
Upgrade Salesforce package | Ask your admin to enable custom fields |
Stale invites | Some invites are over 7 days old (Admins) — resend them from Settings → Members |
Tips
- Add the booking link. It's the single profile field that most directly turns a room visit into a meeting — buyers get a Book button on your card.
- Connect your calendar before your first call, so the notetaker (if your workspace uses one) and the Meeting widget have something to work with.
- Upload a photo from Settings → Profile. Rooms look noticeably more human with faces on the team cards.
