Notification sender email — domain & per-user setup

Every notification Katalyz sends to your buyers (invitations, magic links, comment alerts, signature requests, etc.) goes out from a sender address. There are three levels, from generic to personal — all included in the Core plan.

Level 1 — the default Katalyz sender

Out of the box, notifications come from "Katalyz" no-reply@mail.katalyz.co. Nothing to configure, but buyers see a third-party sender and corporate mail gateways are more suspicious of it.

Level 2 — your own sending domain

From Settings → Workspace → Email delivery, an Admin can point notifications at a subdomain you own — for example rooms.acme.com. The page is self-serve: choose the domain, add the generated DNS records (SPF, DKIM, MAIL FROM, optional DMARC), verify, then flip the Activation toggle to Enabled.

Why this matters:

Branding — buyers see your domain in the sender, not a generic Katalyz one
Deliverability — proper authentication means emails reach inboxes reliably
Trust — recipients are more likely to open notifications from a recognizable domain

Level 3 — per-user sender addresses

Notifications tied to a specific person (a room owner's invitations, replies) can be sent from that user's own mailbox. A buyer invited by Sarah sees sarah@acme.com, not a team alias.

Why this matters:

Personal touch — feels like a 1:1 message rather than a broadcast
Replies land in the right inbox — buyers answer the person, not a no-reply address
Higher open rates — personal senders outperform aliases

Setting it up

Two steps: an Admin enables the integration for the workspace, then each user signs in.

1. Admin — enable the integration. Go to Settings → Workspace → Integrations and authorize Google Workspace or Microsoft 365 at the workspace level. Until this is done, users don't see the sign-in button.

2. User — connect your mailbox. Newly invited members are offered this in the onboarding wizard (Connect your tools → Google/Microsoft email & calendar). Anyone can also do it later from Settings → Profile → Sign in with Google / Microsoft, and the sidebar Get started checklist reminds them until it's done. See Connecting your email.

Without a personal connection, that user's notifications fall back to Level 2 (your domain) or Level 1 (the Katalyz default).

What's affected

The configured sender applies to all outbound notifications:

Room invitations
Magic links and magic codes
Comment / mention alerts
Action assignment notifications
Signature requests and reminders
Anything else triggered by Katalyz
